HOA approval process: how to get your project approved

Most HOAs require approval before you change anything on the outside of your home. The process is similar everywhere: check the rules, submit a request, and wait for the architectural committee's decision.

1. Read your CC&Rs and guidelines

Your declaration (CC&Rs) says which changes need approval. The design guidelines say what the committee will accept: heights, materials, colors and setbacks. Ask your HOA or management company if you don't have them.

2. Prepare your request

Fill in the HOA's architectural request form and attach a site plan, drawings, product sheets and colors. A short cover letter that cites the rules your project meets makes review faster. Put it all in one packet, in the order the committee reads it.

3. Submit and wait for review

Send the request to the architectural review committee. Many CC&Rs give the architectural committee 30 to 45 days to respond, and some treat no response as approval. Your governing documents say which.

4. Get the decision in writing

The committee approves, approves with conditions, or denies. Keep the approval letter and build exactly what was approved. If it's denied, fix the issues and resubmit, or appeal to the board.

5. Get your city permit

HOA approval doesn't replace a building permit. Many projects, including decks, roofs, solar and ADUs, also need one from your city or county.

Common questions

What are typical HOA approval requirements?

A completed request form, a site plan, dimensions, materials and colors, contractor details and a timeline. Some HOAs also want neighbor signatures or a deposit.

What happens if I don't get HOA approval?

The HOA can send a violation notice, charge fines and in some cases require you to undo the work. Unapproved changes can also cause problems when you sell.

Can I appeal an HOA denial?

Most CC&Rs allow an appeal to the board. Read the reasons first; fixing them and resubmitting is often faster.

Build your HOA submission packet

Upload your HOA's rules and describe the project. Approveway checks every rule, drafts the request form and cover letter, draws your plan and side view, and builds the packet you submit.
